The Best Tools for Location Scouts

A short, opinionated guide to the categories of tools location scouts and producers reach for — and where each one is genuinely good (or starts to creak).

01

Cloud storage

Dropbox, Google Drive, iCloud · Compare: Dropbox, Google Drive

Good for: raw archives, long-term backup, sending a large folder.

Limitations: a folder of 200 photos is not a presentation. Clients have to download, scroll, and infer the story themselves. Notes live in a separate document. There's no concept of "this location" vs "this file."

02

Spreadsheets

Google Sheets, Excel, Airtable

Good for: tracking metadata across many locations — addresses, owner contacts, permitting status, rates.

Limitations: spreadsheets are great for data, weak at visuals. You end up linking out to Dropbox or Drive for every image, breaking the flow. Airtable is the strongest option here and works well as a backend, but still needs a presentation layer on top.

03

Maps

Google My Maps, Mapbox Studio

Good for: showing geographic relationships — "all the diner options on the east side."

Limitations: not designed to hold rich content per pin. Images and notes feel bolted on. Hard to share as a clean, branded deliverable.

04

Slide decks

Keynote, PowerPoint, Google Slides

Good for: a curated final pitch.

Limitations: brittle. Add or replace a location and you're rebuilding slides. Large image decks bloat fast and feel dated.

05

Photographer galleries

SmugMug, Pixieset, Pic-Time · Compare: SmugMug

Good for: client proofing of finished photography.

Limitations: built around "a gallery of images" rather than "a location with images, video, notes, address, and links." Scout-specific concepts (locations, addresses, pinned options) aren't first-class.

A reasonable stack for most scouts

  1. Cloud storage for the raw archive (Dropbox / Drive).
  2. A spreadsheet or Airtable base for cross-location metadata if your scope is large.
  3. ScoutCloud as the workspace where scouts actually become presentations.
